This is a reminder that university offices should consult the recently announced Records Retention Plan designed by AUC's Records Management Program as they prepare for the move to the new campus. The plan indicates how long various kinds of documents should be retained, and gives options for storing them in the records centers on the new campus, shredding or recycling them when appropriate, or transferring them to the University Archives if they have historic value. The Records Retention Plan should also be used to identify which records are old enough to be discarded rather than moving them to the new campus.
In addition to the retention plan, a "Guide to Discarding Records During the Move Process" and a "Guide to Transferring Records to the Records Center" are also available. These documents give procedures for separating and labeling records to be discarded, and for packing records that can be sent to the new campus records centers. For academic departments, a short guide highlighting the most common record types in those offices is also attached, to be used in conjunction with the full retention plan.
An introductory section explains how to use the Records Retention Plan, but if you have any questions about the plan or about other procedures feel free to contact us at recordsman@aucegypt.edu, or ext. 6327 / 6328.
